Available with Workflow Manager license.
The Attachments tab allows anyone with the ManageAttachments privilege to associate documents with a job. These documents can represent information related to a job. Examples of these documents include the following:
- Word documents with job instructions
- Proposals for work
- Scanned maps for digitizing
- TIFFs to georeference
These documents can be added by a manager or anyone who needs to convey information to another person working with the job.
Attachments can be associated with a job using the following methods:
- Store as Link—Stores a link to a file on a shared file system. For this method to be effective, the file must be accessible from multiple locations by everyone working on the job.
- Store as Embedded—Stores the attachment in the database. This method can take up a significant amount of space in the database, but the file will be accessible from all locations in ArcGIS Workflow Manager (Classic). Contact your database administrator to find out the file size limit for your particular database (MAXBLOBSIZE).
- Store as URL—Stores a URL to the attachment in the database.
Click the Attachments tab when a job is chosen in the job list to display the Job Attachments window. Attachments are shown as icons in the large area and represent the attachment's file type. Attachments can be viewed as icons, in a list, and in details view.
Adding an attachment to a job
Attachments can be added to a job using the Add button. Clicking the Add button displays a file browser that allows you to choose a file to add to the job.
- Choose a job in the job list.
- Click the Attachments tab.
- Click Add on the side panel.
- Choose a method for associating the attachment with the job.
- Do one of the following:
Store the attachment as a link.
Choose the Linked option. Click the browse button for the Path parameter and browse to the file you want to associate with the job.
Store the attachment in the geodatabase.
Choose the Embedded option. Click the browse button for the Path parameter and browse to the file you want to associate with the job.
Store a URL to the attachment.
Choose the URL option. Type the URL of the file you want to associate with the job.
- Click OK.
The icon for the file you attached to the job appears on the Attachments tab.
Deleting an attachment from a job
Attachments added to a job can be deleted using the Delete button. If the attachment was embedded, it will be completely removed from the database. If it was linked using the Linked or URL option, only the reference to the file will be removed and the file will not be deleted from the file system.
- Choose a job in the job list.
- Click the Attachments tab.
- From the list of available attachments, click the icon for the attachment you want to delete.
- Click Delete on the side panel.
- Click Yes to confirm that you want to delete the attachment.
The icon disappears and the attachment is removed from the job.
Viewing an attachment from a job
Attachments added to a job can be viewed using the View button. Clicking the View button opens the attachment in the default program associated with its file type. If a program is not associated with the file type, a prompt will appear allowing you to choose the appropriate program to view the contents of the attachment.
- Choose a job in the job list.
- Click the Attachments tab.
- Click the attachment you want to view.
- Click Open on the side panel.
The attachment opens in the default program associated with its file type.
Saving an attachment from a job
Attachments can be saved from a job. This can be useful when you need to update the contents of an attachment based on findings on a job. You can save it, delete it from the job, modify the contents, and attach the updated file to the job.
- Choose a job in the job list.
- Click the Attachments tab.
- Click the attachment you want to save.
- Click Save As on the side panel.
- Browse to a folder and provide a file name.
- Click Save.
The attachment is saved to the chosen folder.
